Managing Duplicate Leads

When processing a large number of leads you will eventually come across duplicate leads. BATS gives you the ability to control how a lead is identified as a duplicate, as well as provides you with options to handle the duplicate lead.




To configure duplicate lead control, navigate to the systems setting page.

 

In the center of the screen you will see a section titled “Duplicate Leads”.




To enable Duplicate Lead Checking toggle the switch to the right.




Next you need to set the parameters for the Duplicate Lead checking rules.




Check for duplicates within this many days – You can set this value from 1 to 30 days. If you select 30 days BATS will identify any new lead that matches the duplicate criteria to any lead that was created in the past 30 days.

Field to Check For Duplicates – This fields allows you to decide which field(s) determine a duplicate lead. Options are Email, Phone or Phone and Email.  If you select "Phone and Email" then both fields have to match another opportunity to be considered a duplicate.

What Should BATS Do With Duplicate Leads – This setting tells BATS what to do with a lead that has been identified as a duplicate. The options are:
  • "Leave In Leads Queue – Do Not Process Automation" - This option means that the Lead will be priced by AQua, if enabled, but it will not be converted to a Quote
  • "Archive Lead – Do Not Process Automation" - This option means that the Lead will immediately be archived and removed from Leads queue
  • "Mark as Duplicate and Process Automation" - This option means that the lead will be marked as duplicate, but it will be priced and converted to a Quote.

Assign Lead To Same User As Original Lead – When this option is enabled the duplicate lead will automatically be assigned to the user that the original matching lead is assigned to. Enabling this setting will bypass any other lead distribution settings.


When a lead is marked as duplicate the original ID is displayed on the duplicate lead. You can click on the original ID to the original Lead/Quote/Order.

   


 When the duplicate lead is converted to a quote either manually or via automation the quote will still reference the original ID.
 
   


To remove the duplicate lead warnings click on "Clear Duplicate Status" button on Lead or Quote page.  Please note that if a Quote is converted to an Order then the duplicate lead warnings are automatically cleared.
