How to dispatch orders in BATS using Central Dispatch or BATS’ eDoc System

This article walks you through the step-by-step instructions to dispatch your order using Central Dispatch or BATS' eDoc System. If you prefer to watch a video demonstration on this process, please click HERE.

  1. Go to the “Interested Carriers” tab. This tab was designed to track offers from multiple carriers so you can ensure you’re getting the best price on an order.

  1. When entering a carrier, simply click on “New” under the “Interested Carrier” tab

  1. Begin to type the carrier name. If the carrier name does not automatically populate, the carrier does not exist in your system yet.
  2. To add the carrier to your system, simply click “Create New

  1. Once the screen opens type in your carriers name, ensure the information is accurate and click save to import it into your system.
    1. If the carrier is not in the Directory you can request from BATS to import the carrier from CD by following these instructions.
  2. Now you can input the carrier’s required pay information as well as the insurance information and driver’s information, although not required at this time. You will also be asked to enter the pick up and drop off information.

  1. If you receive a call from a carrier and they are already in your system, their name will automatically populate and you can skip steps 4 & 5.
  2. When you receive a price that you’re satisfied with, and you’re ready to dispatch, simply go to the carriers name under the “Interested Carriers” tab and click on the 3 dots. This will open a menu of options.

  1. The selected carrier’s quote must be accepted first. This step must be completed before dispatching as some broker’s have an internal policy requiring an acceptance/agreement policy. BATS will then ask you to confirm that you’re accepting the offer.
  2.  Once this offer has been accepted, click on the 3 dot menu again, you will now see 2 buttons: “Assign Carrier on CD” and “Assign Via eDoc”. Please note: if you do not see the “Assign Via eDoc” button, you need to ensure the carrier has an email address in their contact details.

eDoc is BATS’ built-in electronic document signing platform so you can dispatch to a carrier even without them being on Central Dispatch. eDoc is helpful for brokers who transport Cargo other than cars and they have to find a carrier off central dispatch. They can still dispatch to the carrier via eDoc. BATS will send an email to the carrier with a link where they can see the dispatch sheet. They sign it electronically to accept it and then we present them with a full dispatch sheet containing the full contact information and pick up and delivery locations.

  1. Simply choose how you want to dispatch your order, either Central Dispatch or eDoc. Either way, BATS will automatically update your statuses under the “Interested Carrier” tab throughout the entire dispatching process. You never have to leave the BATS interface.
