Security Roles in BATS - Explained

BATS has a very granular security for user permissions.  Here we will explain what each security setting means.

To access security assignments for a user navigate to BATS > Setup > User Settings > Open User page > Click Edit

You will see a section named "Security Permissions" with several sections and checkboxes.  Checking a box enables the security access to the particular feature or set of features for that user:

                                             

Details on Security Permissions:

Roles are groupings of security permissions that allow an administrator to assign multiple security permissions to a user without having to select each individual security permission. These are Roles that are available for use in BATS:
  1. Administrators: This is the highest privilege Role in your system, it allows the user to view and make changes everywhere in the system.  This Role gives the user full access to all options on the Setup menu.
  2. Billing: This Role gives the user access to the Billing menu in BATS and the pages that are accessible from that menu.  This role does not give user special access to any other pages or menu items, you will have to select other security permissions if you intend to give a user additional permissions.
  3. Dispatch: This Role gives the user a permission to view Dispatch page and gives the user permission to dispatch Orders to carriers.  This Role is typically assigned to a dedicated dispatcher so that they can dispatch Orders for all users.  Without this permission users will not be able to dispatch Orders to carriers, unless the "Dispatch Own Orders" is selected for the user.   
  4. Managers: This Role gives user a permission to override some settings that are not available without this Role (such as overriding "dispatch without signature") and gives the user permission to add and edit User Settings for users in your system.  Difference between this Role and the Administrators Role is that Managers does not have permissions for any other items on the Setup menu besides the "User Settings".
Records Access settings give permission to users to access certain types of records:
  1. Can Edit Others: This setting gives the user a permission to make changes on Quotes and Orders that are assigned to other users.
  2. Can Export GS: This Role gives the user a permission to export search results in Global Search to Excel or PDF.
  3. Can View Others: This Role gives the user a permission to view Quotes and Orders that are assigned to other users, but does not give them permission to edit those Quotes and Orders
  4. Customer Phone Export: This setting allows users to export customer phone numbers from the BATS System
  5. View Customers: This Role gives the user a permission to access Customers page and to be able to view and edit customer information from that page.  This allows the user to make changes to all customers, even the ones which are not assigned to them.
  6. View Lead Source: This Role gives the user a permission to see Lead Source on Quote and Order pages and grids, otherwise Lead Source and Referral Source are hidden from the user.
The Following Roles allow for more granular control:
    1.     View Others Leads
    2.     View Others Quotes
    3.     View Others Orders
    For example, if you want to allow a user to see other users' Leads and to also be able to edit those Leads, then you will enable "View Others Leads" and "Can Edit Others" for that user.  This will allow the user to view and edit other users' Leads but will not allow the user to view or edit Quotes or Orders.

                                              

    Actions
    settings give permission to users to perform certain actions in BATS:
    1. Add Special Terms: This setting allows users to input terms on orders that will automatically transfer to your customer contracts (i.e. eDoc).
    2. Approve BOL: This Role enables the user to review and approve the Bill Of Lading that is uploaded to the Order.
    3. Can Cancel Orders: This option shows/hides the "Cancel Order" button which allows the user to set the Order Status to "Canceled"
    4. Can Charge CC: This setting gives the user ability to charge customer credit cards in BATS.
    5. Can Edit Assigned User/Team: This setting gives the user permission to reassign the Quotes and Orders to different users or teams.
    6. Can Edit Notes: This setting gives the user a permission to edit Internal Notes after they have been saved, otherwise Internal Notes are not editable.
    7. Can Input CC: This setting gives the user a permission to input credit card information on behalf of customers in BATS.  When this setting is enabled for a user, they will see a button on Customer page to "Add CC".
    8. Create Sub Orders: This setting gives the user a permission to create Sub Orders. Without this permission user will not have the option to create Sub Orders.
    9. Dispatch Own Orders: This setting gives user the permission to dispatch Orders, but only Orders which are assigned to that user.
    10. Edit BOL Date: This setting allows user to edit BOL dates on orders.
    11. Edit Dispatch Dates: This option allows users to edit dates on Interested Carriers record.

    13. Purge Order: This setting gives user the permission to permanently purge Orders from the system.  Without this permission users will only be able to set the Order status to Canceled, but will not be able to permanently delete Orders.
    14. Send Invoice: This setting allows users to send invoices to the customer.

    Reports and Dashboards security settings give permission to users to access specific reports or dashboards in your system
    1. Company Dashboards: This setting gives the user a permission to access Company Dashboards menu and dashboards that are accessible from that menu.
